Hamilton County Ohio Court Records: Search Cases, Dockets, Court Dates & Certified Copies

Need to find a Cincinnati-area criminal case, civil lawsuit, divorce docket or probate file? Hamilton County has more than one record custodian. Start with the correct court, use the official search fields and contact the clerk when a document is missing online.

Fast answer: The Hamilton County Clerk of Courts maintains records for Common Pleas, Municipal, Domestic Relations and First District Court of Appeals matters. Probate has a separate official search system, and Juvenile Court has its own clerk and access rules. Federal cases are not in the county portal.

This is an independent educational guide, not a government website or legal service. A matching name does not prove identity, and a criminal charge does not establish guilt.

Choose the correct system

Which Hamilton County court holds the record?

Hamilton County’s adult trial system includes the Court of Common Pleas and Municipal Court. The Clerk’s name and case-number searches also cover Domestic Relations and appeals. Probate and Juvenile matters require separate attention.

Official search walkthrough

How to search Hamilton County Ohio court records by name

The Clerk’s real search form supports last and first names, company names, optional filing-date filters and court-category checkboxes. A date-of-birth field is available for criminal searches. The Clerk recommends a last name plus the first few letters of the first name.

Open the Clerk’s official name search. Visit courtclerk.org/records-search/name/ and check that you are on the official Clerk website.
Select the relevant court category. Common Pleas Civil, Common Pleas Criminal, Municipal Civil, Municipal Criminal/Traffic, Domestic Relations or Court of Appeals can be selected. Avoid searching irrelevant categories.
Enter the name carefully. Start with last name and first name or a partial first name. For a business lawsuit, use the separate Company Name field. Enter sensitive information only on the official portal if needed.
Use date filters when helpful. If you know the approximate filing period, enter Begin Date and Ending Date on the official form.
Inspect the case result. Compare party role, court, case number, filing date, attorneys and docket entries. A common name alone is insufficient to identify someone.
Check the latest docket activity. Look for judgment, dismissal, sentence, hearing, continuance, appeal, reopening or other subsequent entries. Do not assume an older filing describes today’s case status.
Request a missing document. If the file exists but is not remotely viewable, use the official Clerk record-request page rather than assuming it is unavailable.
Important portal restriction: the Clerk states that its website is for ordinary public access, not bulk data mining. Automated harvesting or large-scale downloads may result in access being blocked.

Already have a case number?

Open the official case-number search. Select the appropriate court category, enter the complete case number as provided, and review the resulting docket. The Clerk does not guarantee that every case document will be available remotely.

Important local difference

Hamilton County Probate Court has its own record search and historical archive

Do not search only the general Clerk portal for estates, wills, guardianships, trusts, probate filings or old marriage records. Hamilton County Probate Court operates a separate public records system.

Unusual historical coverage: Probate’s official records information distinguishes case index coverage (generally from 1974), docket coverage (generally from 1993), document image coverage (generally from 2000) and historical archive materials reaching as far back as 1791. Coverage varies by collection; these are not universal starting dates for every record.

Probate Court location: William Howard Taft Courthouse and Law Center, 230 East Ninth Street, 9th and 10th floors, Cincinnati, OH 45202.

Hearings & schedules

How to check a Hamilton County court date

Searching for a court date is different from reading an old judgment. Hearing dates can change, and a public calendar may be updated after you last checked it.

Search a court or judge schedule

Open the Clerk Court & Judge Schedules. Choose the requested date and court, then verify the judge, courtroom and any later updates.

Municipal court hearing information

Use the Municipal Court when-and-where guide. It explains seven-day scheduled-case information, courthouse kiosks and Clerk contact options.

If a hearing is imminent, call the responsible court or follow your official notice. A website listing does not override a subsequent court order.

Copies, records & fees

Request Hamilton County certified court records or documents not online

Under Ohio’s court-record access rules, a clerk is not necessarily required to provide remote access to every case file or document. Hamilton County offers a specific record-request process for documents that are not available from the online docket.

Find the case number. Use the Clerk’s case search and note the full caption, court category and year.
Identify the specific document. For example, a certified judgment, criminal disposition, divorce decree, order or docket filing. The online “View Case Documents” tab may show page counts.
Open the official records request. Visit Request Record to review the Clerk’s request form, procedures and current policy.
Specify delivery and certification. Indicate pickup, mail or another permitted delivery route. Certified records cannot be sent electronically under the Clerk’s published policy.
Confirm costs before payment. Ask whether the document is archived, requires manual redaction or has additional mailing costs.
Clerk copy-cost guidance — verify with current policy before ordering
Record requestClerk guidance
Ordinary public-record copiesThe Clerk’s published policy provides the first 100 pages per month free, followed by $0.10 per page.
Certified copies$1.00 per page under the published record-request policy; not delivered electronically.
Exemplified / triple certificationThe Clerk’s document request form lists $3.00 per certification. Confirm the applicable total before ordering.
Mail and manual redactionPostage, materials or permitted manual-redaction costs may be additional.
Archives: Hamilton County’s Clerk notes that older court files can date to the late 19th or early 20th century. Some documents are archived or on microfilm and may require extra processing time. Probate’s historical archives follow a separate search and custody route.

Federal and bankruptcy records for Hamilton County, Ohio

Hamilton County state cases are not federal cases. Federal lawsuits, federal criminal proceedings and bankruptcy petitions belong to federal courts. Use PACER rather than the Hamilton County Clerk’s case search.

Avoid common mistakes

Why a Hamilton County case may not appear online

A missing online result is not proof that a case never existed. First check whether you selected the correct court. Then consider a spelling difference, a case-number error, an older archived record, a more recent filing that has not appeared yet, a confidential or sealed file, or an image that is not remotely available.

Three particularly useful checks: probate matters use their own portal; Cincinnati parking violations are not included in the Clerk’s standard name search; and a document that appears on a docket may still require a separate copy request.

Interpreting an entry safely

A complaint is an allegation. A criminal charge is not a conviction. A civil judgment does not by itself show whether money was later paid. Review later docket entries for dismissal, sentencing, satisfaction, appeal, vacation or reopening, and request an official disposition if legal certainty matters.
