Important portal cautions

Search by case or record number first when you have it.
For legacy cases, the tutorial warns users may need to omit preceding zeros after the case type and year.
Sealed cases and exempt information may return “no results found.”
Not all warrants or protection orders are viewable to all user types.
Portal login is not the same as every other Idaho court account.
Use the clerk or courthouse kiosk when online access is incomplete.

Try spelling variations only when appropriate. Compare party role, case type, filing date, court, events and disposition before relying on a result.

Use Search Hearings for court-date questions.

Search hearing calendars by date range and filters. Confirm court-date information with the official notice or clerk if the appearance is urgent.

Use Make Payments only for eligible cases.

Payment availability does not mean every case record is complete or that a charge has a final disposition.

Idaho Judicial Branch guidance separates general case information from records in a case. Case records may require kiosk access or a request to the clerk where the case was filed.

2026 courthouse kiosk update: Idaho announced a new courthouse kiosk search interface in August 2026. Each county courthouse has at least one kiosk for publicly available state court case information and records, and the updated interface can search case information and hearings without requiring a party name or case number.

Idaho’s trial courts are district courts with magistrate divisions. Ada County records can involve district judges, magistrate judges, specialized court programs, juvenile records, small claims, appeals or federal courts. Use the case type first, then choose the official route.

Ada County Clerk of the District Court: official records, copies and certification

The Ada County Clerk of the District Court is the key local custodian for Ada County district and magistrate case files. Idaho Court Administrative Rule 32 designates the Clerk of the District Court or a deputy clerk as custodian for case-file records in district court or magistrate court. The same rule explains that the custodian is not required to compile, summarize or create new records for a requester.

Use the right access path

General case information: iCourt Portal Smart Search.
Hearing information: iCourt Portal Search Hearings or courthouse kiosk.
Records from a case: courthouse kiosk or clerk request where the case was filed.
Sealed or exempt records: request through the clerk and custodian judge process.
Appeal records: Idaho Supreme Court Clerk for Supreme Court or Court of Appeals case files.
Federal records: PACER and the federal clerk, not Ada County Clerk.

Use a kiosk if online access is incomplete.

Each Idaho county courthouse has at least one kiosk for publicly available case information and records.

Identify the exact document.

Do not ask for “everything” unless that is truly needed. Use the register of actions to identify the order, judgment, decree, disposition, exhibit, transcript or filing.

Ask the custodian for copy and certification cost.

Idaho rules say copying costs are determined by the clerk and must be paid in advance when required.

Use the sealed-record request process if needed.

For exempt or sealed material, a requester may need to state the record requested, the reason for disclosure and the proposed use of the record.

Keep certification intact.

Do not remove seals, certification pages, covers, staples or clerk markings when a certified court record is needed for official use.

ICAR 32 timing note: for most Idaho judicial-record requests, the custodian must respond within three working days by disclosing the record, denying the request, or referring the matter to a custodian judge. If more time is needed, notice must be given within ten working days.

Why some Ada County court records may be missing, restricted or redacted

Idaho court-record access is governed by Idaho Court Administrative Rule 32. Public access does not mean every document is visible online to every user. Some information may require courthouse kiosk access, clerk review, custodian judge review, party/attorney access, extended access or a sealed-record request.

Name spelling, maiden name, business suffix or party-role mismatch.
Legacy case-number formatting issue.
New filing not yet fully visible.

Records that may have special limits

Sealed cases.
Exempt records under ICAR 32.
Juvenile matters.
Adoption and termination of parental rights records.
Mental-health hospitalization proceedings.
Protection orders, no-contact orders or warrant information not visible to all users.
Victim information, protected addresses and personal identifiers.
Documents restricted by court order or rule.

Do not bypass restrictions: if a record is sealed, exempt, confidential, juvenile, adoption-related, mental-health-related or restricted by court order, respect that restriction. Do not search for leaked copies, repost protected information or attempt to reconstruct restricted details.

Civil judgments and ROA

ICAR 31 describes the clerk’s civil and criminal record as a Register of Actions that notes filings, process, appearances, orders, verdicts, judgments, executions and satisfactions chronologically.

Family and protection cases

Divorce, custody, child support, protection-order and family matters can include sensitive or restricted information. Public Portal results may be limited.

Small claims

Idaho small claims now uses a higher $15,000 limit effective July 1, 2026, but users should verify current Ada County forms, filing fees and service rules before filing.

Clean Slate / shielding
