Do not mix databases

Court records, police reports, Recorder records, and vital records are different

A court file does not include every public record connected to a dispute or charge. The Circuit Clerk’s court-file page specifically explains that transcripts, police reports, evidence, and exhibits are not found in the normal court file.

Court records

Use the Circuit Clerk for civil, criminal, traffic, family, divorce, probate, guardianship, small-claims, and docket records, subject to access restrictions.

Recorder and vital records

Use the County Clerk and Recorder for deeds, liens, plat maps, historical documents, birth certificates, death certificates, marriage certificates, and civil unions.

Police, jail, and transcripts

Police reports come from the police agency. Transcripts come from the court reporter. Current custody or jail information is separate from court disposition.

FOIA note: Champaign County’s general information page says public court records do not require a FOIA request and are available for inspection at the Circuit Clerk’s Office on the first floor of the main courthouse, as well as through the Circuit Clerk website.
Appeals and federal

Champaign County appeals, federal district cases, and bankruptcy records

Appeals and federal cases do not use the same workflow as ordinary local public case information. Use the correct court level before relying on a result.

Illinois appellate cases

Champaign County Circuit Court is part of the Sixth Judicial Circuit, and the county court page states that the Sixth Judicial Circuit is part of the Fifth Appellate District. Compare appellate records with the lower-court case number.

Federal district court

The U.S. District Court for the Central District of Illinois hears cases in Urbana. Federal cases use the federal court and PACER, not the Circuit Clerk’s county case lookup.

Bankruptcy court

Troubleshooting

What to do if your Champaign County court-record search returns no result

Check search-route mistakes
  • Ohio Champaign County searched instead of Illinois Champaign County.
  • Recorder document searched as a court case.
  • Birth, death, or marriage certificate searched through Circuit Clerk.
  • Federal or bankruptcy case searched in county public case information.
  • Police report, transcript, evidence, or exhibit requested from the wrong source.
Check access limits
  • Sealed, expunged, impounded, or restricted case.
  • Adoption, juvenile, juvenile-victim, or sexual-assault case.

Ask whether the record is online, restricted, sealed, in paper form, digital, on microfilm, or held by another office.
Docket help

How to read Champaign County docket entries responsibly

A docket is a timeline of court activity. It does not always show every document online or explain the legal effect of each entry. Use neutral wording and verify final disposition with the official court record.

Party roles

Plaintiff, defendant, petitioner, respondent, appellant, appellee, debtor, creditor, decedent, guardian, ward, and personal representative are legal roles. A role does not automatically mean wrongdoing.

Common entries

Complaint, petition, summons, citation, motion, notice, order, hearing, judgment, sentence, dismissal, continuance, satisfaction, garnishment, foreclosure entry, or appeal may appear depending on case type.

Status caution

Open, closed, pending, disposed, dismissed, continued, satisfied, vacated, or appealed can mean different things. Ask the Clerk or an attorney for official interpretation.

Legal and privacy safety

Use Champaign County court records carefully

Identity-matching rules
  • Do not identify a person from a common name alone.
  • Compare case number, court, division, filing date, party role, hearing date, and lawful identifiers.
  • Do not assume an arrest, citation, complaint, or charge is a conviction.
  • Do not assume a civil judgment shows current payment, satisfaction, appeal, or collection status.
Responsible-use rules
  • Do not harass, threaten, shame, or retaliate against anyone.
  • Do not republish children’s information, addresses, protected health details, or unnecessary sensitive data.
  • Respect sealing, expungement, juvenile, adoption, sexual-assault, eavesdropping, and impoundment restrictions.
  • Contact the official custodian for corrections, certified copies, expungement, sealing, or restricted-record questions.
