Kane County court records search: start with the Circuit Clerk’s party-based portal—and spell the name exactly

The official online starting point for most Kane County court records is the Kane County Circuit Clerk’s public court-record portal. Kane County is part of Illinois’ 16th Judicial Circuit, and unlike states where separate superior, county, probate and district clerks maintain different databases, Kane County’s Circuit Clerk maintains the local state-court record across civil, family, felony, misdemeanor, traffic, probate and related case categories.

The most important local search rule is easy to miss: the Clerk says its case-management system is party based and a name must be spelled exactly as the system stores it. An unsuccessful search can therefore mean “the spelling did not match,” not necessarily “no Kane County case exists.”

Illinois does not divide Kane County trial cases among separately elected Superior Court, State Court, Magistrate Court and Probate Court clerks. If a case is not in the system and Clerk staff must research it, the Clerk currently charges a $6 research fee for each year searched. Historical/genealogy research can also be performed in the Records viewing area with photo ID.

The Court Notifications service begins with a First Name, optional Middle Name and Last Name search to help locate the case number. The Circuit Clerk promotes email/text court notifications.

Kane County Court Notifications

Do not rely on ordinary public searching.

Kane County says juvenile records are restricted by statute. Adoption records are impounded and cannot be viewed without a court order.

Kane County appeals ordinarily go to Illinois’ Second District Appellate Court.

The Kane Circuit Clerk prepares and electronically sends the appellate record after required steps and fees. The Second District is located in Elgin.

Federal civil, criminal and bankruptcy matters are separate from Kane County’s Circuit Clerk portal. Kane County is within the Eastern Division of the U.S. District Court for the Northern District of Illinois.

How to search Kane County court records by name

Kane County does not describe its online search as a broad fuzzy-name or people-finder system. The Clerk explicitly warns that the case-management system is party-based and names not spelled exactly as stored in the system will not appear.

1. Open the Circuit Clerk’s Online Court Records page. From there, follow the official Court Records Online link to the public portal.
2. Open Smart Search.
3. Enter the name as Last Name, First Name. Follow the Clerk’s displayed formatting rather than copying search syntax from another Illinois county.
4. Start with the spelling most likely used in the case. Do not immediately add unnecessary personal information.
5. If you receive no result, test legitimate spelling variants. A hyphenated surname, middle name, suffix, shortened first name or clerical spelling difference can matter because Kane’s system expects the stored party spelling.
6. Use a known case number instead whenever possible. It is a more precise identifier than a common name.
7. Open the candidate case.
8. Confirm the case type. For example, CF means a felony category, EV an eviction, FC a foreclosure, PR probate and DN a dissolution without children.
9. Compare filing date, case number and party role.
10. Review the docket through the latest available events. Do not report an accusation, complaint or initial filing as the final result.
11. If the document you need is not available online, request it from the Circuit Clerk’s Research and Photocopy unit.

No name result? Kane County’s exact-spelling rule changes the troubleshooting process

A failed search should trigger a controlled troubleshooting sequence instead of an immediate conclusion that no case exists.

Kane County changed case-number formatting: use the four-digit filing year

Illinois recordkeeping changes implemented in Kane County in 2022 moved case filing years to a four-digit format, and the Clerk announced that the format would apply retroactively to older case inquiries.

The Circuit Clerk states that most court files are public unless access is restricted by statute or the record has been impounded by court order.

3. Identify the exact document. Examples include judgment, sentencing order, dismissal order, probate order, complaint or other filing.
4. Note the filing/docket date if visible.
5. Decide whether you need a plain copy or certification.

8. For an emailed request, wait for the research-request form number and total due.

An older case not appearing in the public portal should not automatically be treated as nonexistent.

The Circuit Clerk maintains earlier paper filings and continues scanning/linking documents that were not originally electronically filed. Some historical research therefore requires Clerk staff or an in-person Records viewing-room search.

2. Try the four-digit filing-year case-number format when a case number is known.
3. If searching by party, verify exact spelling.
4. Record any index information you find.
5. If the file/document does not appear, contact Research@kanecountyil.gov.
6. Provide the approximate year and party name if you do not know the case number.
7. Expect a $6 search fee for each year or name searched when manual research is required.

Juvenile records are not ordinary public Kane County case files

Kane County’s Circuit Clerk states that juvenile records are restricted by statute.

The Clerk says a juvenile record may not be viewed unless you are a party to the case and can present proper photo identification. The office also states that it cannot give information over the phone—not even an acknowledgement that a juvenile case exists.

Adoption records have even stronger restrictions

Kane County says adoption records are impounded by statute and may not be viewed without a court order.

The restriction is strong enough that the Clerk says information cannot be provided by phone or in person merely to confirm the case. The Clerk’s published instructions also state that attorneys on the case generally cannot view the file without a court order, with a limited pending-case role for a Guardian ad Litem.

The Circuit Clerk provides a dedicated Court Notifications service intended to help people remember appearances through email or text notifications.

Kane County now uses the EV category for residential and commercial eviction cases.

A filed eviction complaint does not prove that:

Probate and guardianship: know where the case is physically handled

Probate is part of the 16th Judicial Circuit’s Civil Division. Current court information places the Civil Division primarily at the Kane County Courthouse, 100 S. Third Street in Geneva.

eFileIL is for filing documents—not a replacement for Kane’s public case search

Illinois operates the statewide eFileIL filing system. It should not be confused with the Kane County Court Records Portal.

The Illinois Courts active-courts listing currently identifies Kane County as:

• permissive for criminal filings supported through eFileIL;
• permissive for supported juvenile filings;

• judge;
• date of proceeding;
• courtroom if known.

The Circuit currently describes regular delivery as up to three weeks, expedited as more than 24 hours but less than seven days, and daily copy as within 24 hours. Daily service may not be possible for a proceeding captured through electronic recording.

Kane County appeals go to Illinois’ Second District Appellate Court

Kane County is the 16th Judicial Circuit, and the Illinois Second District Appellate Court hears appeals from the 16th Circuit.

Kane’s Circuit Clerk states that it prepares the appellate record and electronically sends the appeal to the Appellate Court after the required fees/process are completed.

Kane County bankruptcy cases are federal too

Bankruptcy does not belong in the Kane County Circuit Clerk’s state-court portal. Kane County falls within the Eastern Division of the U.S. Bankruptcy Court for the Northern District of Illinois.
