Pasco County FL Court Records Search: one Clerk, two sides of the county, and several different access levels

The starting point for most Pasco County court records is the Pasco County Clerk & Comptroller. The Clerk processes Circuit Court cases such as felony, divorce, probate and guardianship matters, as well as County Court cases including misdemeanor, county civil, small claims, landlord/tenant and traffic cases.

Pasco’s system has an important local feature that generic Florida court guides often miss: court files can carry an East or West courthouse designation. East-side court operations are centered in Dade City at the Robert D. Sumner Judicial Center; west-side operations are centered at the West Pasco Judicial Center in New Port Richey.

Second District Court of Appeal public dockets use Florida’s ACIS system. Federal Pasco County matters are within the Middle District of Florida’s Tampa Division.

How to search Pasco County court records online

The Clerk does not present its court search as an unrestricted people-search database. Access is governed by Florida Supreme Court standards, statutes, court rules and administrative policy.

1. Open the Pasco County Clerk Search Court Records page. Confirm that the domain is pascoclerk.com.
2. Read the Clerk’s court-record disclaimer. The online system is intended for informational public access and access can be limited by law or court rule.
3. Click “Online Court Records Search.” This opens the Clerk’s public case-search environment.
4. Choose the search method supported by the live portal. Florida’s statewide electronic-record standards allow general-public search parameters including case type, case number, party name, citation number and date range where implemented by the local system.
5. Use the complete case number whenever you know it. A Pasco Uniform Case Number is much more precise than a common-name search.
6. If searching by party name, inspect every plausible match. Do not assume the first person with the same name is the correct person.
7. Check the court type. CA, DR, CP, GA, CC, SC, CF, MM and other Pasco codes identify different types of cases.
8. Check the East/West designation. The end of the Uniform Case Number can identify the side of Pasco County where the case is assigned.
9. Open the case docket. Read later activity, hearings, orders, dispositions and document availability rather than stopping at the case caption.
10. Use E-Certify or Court Records when an official copy is required. An online docket page is not a certified record.

Pasco County case numbers contain useful routing information

Pasco began using Florida’s mandated Uniform Case Number (UCN) on January 1, 2003. The Clerk’s official UCN guide explains that the number contains a statewide-formatted section plus optional county fields and a final courthouse-location designation.

Pasco court-type codes

Use Pasco’s Case Section / Division Lookup after you have the case number

The Clerk provides a separate Judicial Section/Division Lookup. Its form visibly breaks the Pasco case number into:

• county number 51;
• year;
• case type;
• case sequence number;
• the four-character county field; and
• East/West assignment.

This tool is useful when you already found the case and need to determine its assigned judicial section/division before checking judge information, scheduling, or courthouse location.

Why some Pasco court documents appear online and others do not

Florida does not give every website visitor the same electronic access.

The Florida Supreme Court’s electronic-record standards define the ordinary public as User Role 7 — General Public. For that role, records that are sealed, expunged, automatically confidential, or made confidential by court order remain excluded.

The same Florida standards expressly recognize that remote electronic access can be more restrictive than in-person access at a clerk’s office.

Public search fields are also intentionally limited

Florida’s statewide standards limit general-public web search parameters to categories including:

• case type;
• case number;
• party name;
• citation number; and
• date range.

Authenticated attorneys, parties, government agencies and other approved user roles can receive different levels of access where permitted by law.

Pasco’s online record is useful—but the Clerk warns it is not the official court record

The Clerk’s online-services disclaimer states that internet records are provided for informational purposes and that the record maintained within the Clerk & Comptroller’s Office is the official record.

Pasco Court Records vs Official Records: do not confuse the two searches

Pasco has two different record systems that can overlap.

Pasco’s Official Records index currently covers 1975 forward. Publicly viewable document images are generally available from 1990 forward, except for restricted categories such as certain family-law, probate, military-discharge and death-certificate images.

Pasco County Court Records copy fees

Fees are subject to legislative change. The Clerk currently states that card transactions can incur a 3.5% transaction fee charged through MyFloridaCounty where that payment system is used.

E-Certify: Pasco’s 24/7 certified-document option

Pasco’s E-Certify system is more than a PDF download button. The Clerk states that eligible electronic certified documents:

• are available online 24 hours a day, seven days a week;
• contain a Clerk of Court digital signature;
• use security features intended to make the certification tamper-resistant;
• can be downloaded immediately after purchase; and
• are also sent to the email address supplied during purchase.

How to order an E-Certified Pasco court document

1. Find the case first. Use the Court Records Search and save the complete case number.
2. Identify the exact document. For example, final judgment, sentencing order, divorce judgment, probate order or other qualifying document.
3. Open Pasco E-Certify. Use the Court Records E-Certify option, not the unrelated Official Records search unless you actually need a recorded instrument.
4. Search/order by the case number. This reduces the chance of purchasing a document from the wrong case.
5. Review the document and fees before payment. Copy, certification, convenience and card-processing charges can all apply.
6. Provide a working email address. The Clerk sends the certified electronic document to the email entered at purchase.
7. Download the certified document after purchase. Store the original electronic file rather than relying only on a screenshot.
8. Use the Clerk’s verification system when authenticity needs to be checked. E-Certify supports verification through a unique reference code or electronic-file upload.

Viewing old and paper Pasco court files: two retention facilities

Pasco County maintains separate records facilities for the East and West sides of the county. These facilities house open and closed court records and related evidence maintained by the Clerk.

Pasco’s own practical tips for viewing paper files

• Call ahead when you know the case numbers of the files you want to inspect.
• If you want to inspect 12 or more case files, the Clerk asks visitors to arrive before 3:00 p.m..
• The Clerk identifies approximately 9:00–11:00 a.m. and 2:00–4:00 p.m. as less-busy periods for records-center visits.
• Closed files that satisfy retention requirements can be destroyed.
• Some destroyed paper files may still survive as filmed records depending on the record type.

Criminal court records: read the disposition, not only the charge

Pasco’s Criminal Department states that felony, misdemeanor and criminal-traffic case files are publicly viewable unless the case is sealed, expunged or confidential by law.

Pasco participates in Florida’s E-Notify service for upcoming criminal court events.

Users can currently choose email and/or text notifications and select reminders such as:

• 14 days before;
• 7 days before; and/or
• the day before the event.

The Clerk says there is no limit to the number of cases a user can add to E-Notify.

Civil records: Circuit Civil, County Civil and Small Claims are different

Current Pasco Clerk guidance describes:

• Small Claims: qualifying claims not exceeding $8,000, excluding costs, interest and attorney fees;
• County Civil: actions seeking more than $8,000 but not more than $30,000, excluding specified costs, interest and attorney fees; and
• Circuit Civil: actions where damages sought exceed $30,000.

Divorce records: public case does not mean every family document is remotely viewable

The Pasco Clerk states that when a dissolution-of-marriage case is filed, it becomes a public court record. But Florida’s electronic-access rules separately limit what document images an anonymous internet user can view in Family Law cases.

For a Pasco divorce search

1. Open the Clerk’s Court Records Search.
2. Search using the known party or case information.
3. Confirm that the UCN uses the appropriate Domestic Relations / Family designation.
4. Check the East/West assignment.
5. Open the docket and locate the final disposition.
6. Distinguish the original petition from the Final Judgment of Dissolution of Marriage.
7. If the actual final judgment image is unavailable remotely, contact Court Records or the appropriate Clerk office.
8. If official proof is required, order a certified copy rather than using a docket screenshot.

Probate and wills: Pasco provides a dedicated will-name search

Probate matters use the Pasco Clerk’s Circuit Court services. The Clerk also provides a separate Wills on Deposit Search by Name.

Pasco’s probate guidance notes an important Florida-specific point: wills are deposited after a person has died; Florida does not use a routine pre-death public will-deposit system.

How to search for a deposited will

1. Open the official Wills on Deposit Search by Name page.
2. Read and accept the Clerk’s disclaimer.
3. Enter the person’s last and first name.
4. Use the optional filing-date range when helpful.
5. Review possible matches carefully.
6. If you need the actual will or probate file, identify the related case and request the permitted document from the Clerk.

Mental-health court records use a separate search route

The Clerk provides a dedicated Mental Health Case Search rather than treating sensitive mental-health proceedings as an ordinary name-search product.

The current search interface is designed around the Pasco Uniform Case Number, including the:

Protecting confidential information in Pasco court records

The Pasco Clerk identifies Florida Rules of General Practice and Judicial Administration 2.420 and 2.425, Florida Rule of Criminal Procedure 3.140, and Sixth Judicial Circuit Administrative Order 2021-021 as part of the framework governing confidential and sensitive court information.

What if the Pasco court search returns no result?

No-result decision path

1. Check whether the case is actually in Pasco County. Sixth Circuit also includes Pinellas County, whose Clerk maintains a separate records system.
2. Check the spelling and party role. A common name can be indexed differently than expected.
3. Use the full Uniform Case Number when known. This is substantially more precise than a name search.
4. Check East vs West. A Pasco case number can include a courthouse-side designation.
5. Check the case type. Circuit Civil, County Civil, Small Claims, Probate, Family and Criminal use different case-type codes.
6. Looking for a will? Use the Wills on Deposit Search instead of relying only on the ordinary court search.
7. Looking for a mental-health file? Use the specialized Mental Health Case Search and respect its access restrictions.
8. Looking for an old file? Call the East or West Records Retention Facility.
9. Need a recorded judgment or lis pendens? Search Pasco Official Records as a secondary route.

Second District Court of Appeal handles Pasco County state appeals

Pasco County is part of Florida’s Sixth Judicial Circuit, and the Second District Court of Appeal hears appeals from the Sixth Circuit.

Florida appellate public dockets now use the statewide Appellate Case Information System (ACIS). The Second DCA directs users to ACIS for public appellate dockets and notes that some dockets/documents remain restricted by rule, statute or other authority.

How to follow a Pasco appeal

1. Locate the Pasco trial-court case.
2. Confirm that an appeal was filed.
3. Record the appellate case number when available.
4. Open the Second District Court of Appeal website.
5. Open ACIS.
6. Search the appellate case.
7. Review appellate docket activity separately from the Pasco trial-court docket.
8. Remember that the trial record and appellate record are related but not the same record set.

Federal Pasco County cases use the Tampa Division

Federal civil and criminal court records are not in the Pasco Clerk’s case search.

The U.S. District Court for the Middle District of Florida currently assigns Pasco County to its Tampa Division.
